Grant reporting

If you received a grant from the Australia Council you must provide us with a grant acquittal report at the end of your funded activity.

Please read your funding agreement to check details of the grant acquittal material you should provide.

The grant acquittal report is where you tell us:

  • how you spent your grant
  • what the artistic outcomes of your funded activity were.

We use this information to evaluate the achievements of funded activities, monitor the effectiveness of our funding programs, and ensure our policy development is consistent with the experience of artists in the field. It also enables us to fulfil our obligation of accountability to the Federal Government.

If you don't provide a grant acquittal report, or if the report you submit is not satisfactory, you may not be eligible to apply for further funding or receive further payments from the Australia Council. 

What grant acquittal report should you submit?

There are three types of grant acquittal report:

1. Artistic Grant Report

If you are the recipient of a project grant (such as a New Work, Presentation and Promotion, Fellowship or a Skills and Arts Development grant) it is a condition of your grant that you submit an Artistic Grant Report once you have completed your funded activity.

Complete and submit your Artistic Grant Report by using the Grant Reports online system. If you are a first time user, all you need to do is register on our site, log in, complete the online form and then submit it to us.  Your Program Officer will then review your submission and notify you by email if your grant has been successfully acquitted.

Note: If you have already registered on our online system then you should use the User Id and password you were previously allocated.

2. Financial Grant Report

You may also be required to submit a Financial Grant Report. This Financial Grant Report can be completed by either the recipient of the grant, or by someone who has administered that grant on behalf of the recipient. The following grant recipients generally DO NOT need to complete the Financial Grant Report:

  • recipients of Fellowships
  • recipients of Literature and Visual Arts New Work grants
  • recipients of grants of less than $5,000 (ie $4,999 or less).

Check your funding agreement if you are unsure if you need to complete a Financial Grant Report.

Complete and submit your Financial Grant Report by using the Grant Reports online system. All you need to do is register on our site (if you have not already registered), log in, complete the online form then submit it to us. Your Program Officer will then review your submission and notify you by email if your grant has been successfully acquitted.

If your grant was administered by another organisation or person then your administering body can submit a financial grant report on your behalf using the Grant Reports online system.  Administering bodies should register (as themselves on our site), then use your application number to access and complete the Financial Grant Report.

Note: If you have already registered on our online system then you should use the User Id and password you were previously allocated.

3. Key Organisations Grant Reports

Recipients of Key Organisations grants are required to submit annual reports for quantitative data, demographic information and financial accounts by 30 April each year.

Key Organisations should complete and submit their quantitative data using the  Quantitative Data Online System. They should also use this system to submit their demographic information.  They can do this by downloading and completing the Demographic Information template (Word document), then attaching it as support material to their Quantitative Data Report.

Key Organisations should also attach annual reports and audited financial accounts as support material to their Quantitative Data Report via the Quantitative Data Online System.

If you are a first time user, you will need to register on our site, log in and complete the online form.

If you are not sure what report(s) you need to submit as part of your grant acquittal, or what information you should record in your grant acquittal report, please refer to your funding agreement or contact the program officer listed at the top of the cover letter of your agreement.

AusStage

Do you want to record details of your performing arts event for posterity? AusStage is a project designed to create a comprehensive listing of live events with dramatic content covering all of Australia (excluding music in the form of concerts, rock bands, etc., but including music theatre).

We seek your support in entering your data for Australia Council supported projects. The minimum data required for entry is: the name (title); the venue; the date; the production company; and the primary genre. When acquitting your grant, please take a few minutes to ensure that your project has been recorded for the database.
